With session completion tracking, you can mark a session as Closed after delivery. This makes the session read-only and closes any associated Forms for new submissions.
This helps facilitators and teams clearly separate delivered sessions from those still in planning, while protecting delivered content from further edits.
This feature is currently available on the Enterprise plan.
How to mark a session as closed
To close a session, you must be an Owner or Editor of that session.
Open your session in the Session Planner, click the Close (checkmark) option in the top-right corner.
You will be prompted to choose one or more facilitators from the session collaborators. After confirming your selection and clicking Close Session, the session will immediately switch to read-only mode.
Selecting facilitators allows you to record who delivered the session. This is especially helpful for large teams that track delivery across multiple facilitators.
What changes when a session is closed?
Once a session is marked as closed, the Session Planner becomes read-only. You can still view the full agenda, but you can no longer edit blocks, rename the session, or add comments. This helps protect the delivered agenda from accidental changes.
Any Forms connected to the session are automatically closed for new submissions. Existing responses remain available, so you can still review feedback or export results if needed.
You will be able to see the closed sessions in your workspace still:
Closed sessions are hidden from the Dashboard by default to keep your workspace focused on upcoming and in-progress work. You can reveal them at any time by enabling the Show closed sessions filter on the Dashboard.
If your session includes multiple days, completion is applied at the parent session level, which means that all days automatically inherit the closed state, and individual days cannot be closed separately.
What if I need to edit a closed session?
If you need to make changes after closed, a workspace Admin can reopen the session. You can do this from your workspace by clicking the three-dot menu on the Session card and then choosing to Reopen session. Reopening restores editing, commenting, and Form submissions.
You can also duplicate a completed session at any time. The duplicated copy will not be marked as closed and will be fully editable. This is useful when running the same session again or creating a new cohort based on a previously delivered program.
