Standard session workflows help your team follow the same preparation, design and follow-up process when creating and delivering sessions in SessionLab.
As a workspace owner, you can set Pages and Forms which are automatically included with every new session created in your workspace.
For example, every new session could automatically include a:

Feedback Form to collect participant feedback consistently
Retrospective Page or Form for facilitators to capture their reflections after delivery

Why use a standard session workflow?
When several people design or facilitate sessions, it can be difficult to make sure everyone follows the same process.
A standard session workflow gives everyone the same structure to work from, without relying on facilitators to remember which Pages and Forms to add.
This is especially useful when sessions are designed or delivered by a wider group of facilitators, as it helps less experienced team members follow the same proven preparation and follow-up process.

Example 1: from needs assessment to agenda
A common workflow is to include a standard Needs Assessment Page with every new session. This can give facilitators a consistent way to capture the background, participants, objectives, desired outcomes and other requirements for a workshop or training request.
Once the needs assessment is complete, the information can provide context for creating a first draft of the agenda with the AI Assistant. This creates a consistent flow from workshop request → needs assessment → agenda design, rather than asking every facilitator to start from scratch.
Example 2: standardised feedback
You can automatically include a standard Feedback Form with every new session, ensuring that facilitators use the same questions and process to collect participant feedback. Because the Form is already part of the session, there's no need for facilitators to find or add it themselves.
Each Form also has its own QR code, making it easy to share the feedback request in participant materials or presentation slides. This helps you collect consistent, comparable feedback across different facilitators, sessions and programmes.
Example 3: facilitator retrospective
You can also include a standard retrospective Page or Form for facilitators to complete after delivery. This can prompt them to capture what worked, what they changed during the session, and what should be improved next time - helping your team retain learning from each delivery instead of leaving it with the individual facilitator.
Creating your standard session workflow
Setting up a standard session workflow takes two steps:
Create the Pages and Forms you'd like your team to use, then save them as templates
Ask us to activate them - contact us at support@sessionlab.com and tell us which workspace you'd like to enable the workflow for, and which Page and Form templates to include.
From that point onwards, whenever someone creates a new session in the workspace, SessionLab will automatically create fresh copies of the selected Pages and Forms as part of that session.
Your facilitators don't need to add them manually, they can simply open the session and work through the resources your team has prepared.
The agenda remains the central part of the session, while your standard Pages and Forms can support the process around it.
