AI in SessionLab: Usage, Privacy, and Controls

Learn how SessionLab’s AI features work, what data they access, and how your privacy is protected.

SessionLab uses artificial intelligence models with its AI Assistant to help individuals and teams improve their process of designing and delivering workshop and training sessions.

The following article outlines how we use AI features within SessionLab.

Scope of data that AI accesses

From the perspective of what data the AI model accesses when you use the AI features of SessionLab, there are three levels of access. The following describes the data AI Assistant can access once AI features are enabled for your workspace. Levels 2 and 3 can be activated by the user directly in the chat interface, on a per-message basis.

1) Current session content


Each time you converse with the AI Assistant, it can see the full content of your current session - all days, pages, and forms. Through the chat interface you may communicate with the AI Assistant, and it uses this session content to provide relevant responses and suggestions.

This allows the AI to generate draft agendas, edit session content, and perform a wide range of other actions within your session, based on the prompts you provide.

2) Current workspace sessions and private library

You can also choose to give the AI read access to all sessions and your private library (methods and templates) within your current workspace. This allows the AI to search across your workspace content when it is relevant to your request.

3) All workspaces sessions and private library

For accounts with multiple workspaces, you can optionally expand AI access to all sessions and your private library across all your workspaces.

AI memory

SessionLab AI Assistant can store memories about you to personalize its responses in future conversations. Memories may include preferences you state (e.g. "I prefer interactive activities and 20-minute breaks"), your name, or recurring details it picks up from your messages. AI memory is active whenever AI Assistant is in use. If AI features are not enabled for your workspace, no memories are stored.

How memory works:

  • Memory is stored at the user level. It applies across all your sessions, workspaces, and accounts. Memories are never shared with other users, including your teammates.

  • Memory is automatically enabled when you use the AI Assistant. There is no separate opt-in/out for memory.

  • There is no dedicated settings page to view or edit memories. You can manage them directly in the AI Assistant chat:

    • To see what's stored, you can simply ask AI Assistant: "What memories do you have about me?"

    • To remove memories, ask the Assistant to delete a specific memory or all memories.

Managing AI access for your workspace

For AI features that access your session content, access is managed at the workspace level by workspace admins and account owners.

When you opt in, you enable AI features to be used on your entire workspace, and for Business/Enterprise accounts with multiple workspaces to be used on the entire account including all of its workspaces.

Therefore opting in to use AI features is only available for workspace admins and account owners.

If you do not have admin or owner-level rights on your workspace, you need to ask one of your workspace admins to opt in using AI features in SessionLab.

For accounts created before April 2026, AI features are disabled by default. A workspace admin or account owner must enable them at the account level via the account AI settings.

For accounts created from April 2026 onwards, AI features are enabled by default at the account level. The opt-in takes effect the first time a workspace admin or account owner starts using the AI Assistant.

Please also note that if you are members of different workspaces that belong under different billing accounts, opting in for one of your workspace/account will not influence your other workspaces/accounts.

Workspace admins and account owners can opt out and stop using AI Assistant at any time via the account AI settings.

Security and Privacy related to AI features

When you use AI in SessionLab, your data is processed in accordance with our Privacy Policy. If you choose to use SessionLab’s AI features, you can be assured that:

  • Your input data will be used solely for the purpose to generate a response from the AI model in order to provide that response back to you.

  • All content you add into your sessions is processed on servers located within data centers that are located in the European Union.

We utilize the following AI services for our AI features:

  • Claude by Anthropic via Amazon Web Services (AWS) Bedrock - AWS Bedrock runs AI models entirely within AWS infrastructure so your data is processed within AWS and is not sent to Anthropic.

  • Gemini by Google via Google Vertex AI

Neither service uses your data to train AI models. As outlined in the AWS Bedrock documentation, Amazon Bedrock does not store or log your prompts and completions, and model providers do not have access to customer data. As outlined in Google Cloud Platform's Service Specific Terms, Google won't use your data to train or fine-tune any AI/ML models.

In the future we may update the specific AI model versions or expand the choice of AI services we use. Importantly, AI services we use must adhere to the criteria outlined above.

Content generated by AI features is produced by an artificial intelligence system, not a human.

AI Assistant request limits

AI features in SessionLab are available on paid plans:

  • a user on the Individual plan can perform 50 requests per month.

  • a user on the Pro plan can perform 200 requests per month.

  • a user on Business and Enterprise plans can perform 500 requests per month

For the accounts with multiple users on it, the number of AI requests is shared across your workspace members. For example, one Pro workspace with 4 users will have 800 AI-requests available per month, which can be used by any workspace member.
