AI in SessionLab: Usage, Privacy, and Controls

Learn how SessionLab’s AI features work, what data they access, and how your privacy is protected.

SessionLab uses artificial intelligence models to help individuals and teams improve their process of designing and delivering workshop and training sessions.

The following article outlines how we use AI features within SessionLab.

Scope of data that AI accesses

From the perspective of what data the AI model accesses when you use the AI features of SessionLab, there are two types of features:

1) Features that do not get access to the content in your session.


One such feature is the AI Assistant enabling you to generate a draft agenda based on your prompt. Through the chat interface you may communicate with the AI Assistant, however it does not see the existing content in your session.

It can generate a draft agenda for you, and insert it as new content in your session. After inserting content into your session, it will not receive further information about what edits you make in your session.

Thus it only works with the chat prompts you provide to it in the dedicated AI Assistant sidebar.

2) Features that get access to the content in your session(s)

One such feature is the “Ask AI” functionality that can provide you recommendations how to improve your agenda after analysing it. You can also use it to edit different aspects of your agenda. (For example, to shorten the description of your session blocks, or to extract action items that should be marked as tasks)

These features need to see the content already existing within your session, and therefore you need to opt in to our AI Usage Policy before being able to utilise these features.

Opting in for AI accessing your session content

Before using any AI features in SessionLab that require accessing your session content, you need to opt in using these features.

When you opt in, you enable AI features to be used on your entire workspace, and in case of Business/Enterprise accounts with multiple workspaces to be used on the entire account including all of its workspaces.

Therefore opting in to use AI features is only available for workspace admins and account owners.

If you are not having owner level rights on your workspace, you need to ask one of your workspace admins to opt in using AI features in SessionLab.

You can opt in by initiating usage of an AI-using feature, and then confirming your opt-in in the modal popping up.

Please also note that if you are members of different workspaces that belong under different billing accounts, opting in for one of your workspace/account will not influence your other workspaces/accounts.

If you have previously opted in to use AI features that access your session content, you can opt out your account from AI features by writing to support@sessionlab.com

Security and Privacy related to AI features

When you use AI in SessionLab, your data is processed in accordance with our Privacy Policy. If you choose to use SessionLab’s AI features, you can be assured that:

  • Your input data will be used solely for the purpose to generate a response from the AI model in order to provide that response back to you.

  • Your input data is not used to train models without explicit consent. This option is disabled by default.

  • All content you add into your sessions is processed on servers located within data centers that are located in the European Union.


We are utilizing Gemini via Google Vertex AI for our AI features, and in the future we may expand the choice of AI services we use.

Importantly, AI services we use must adhere to the criteria outlined above.

As outlined in Section 17 "Training Restriction" in the Service Terms section of Google Cloud Platform's Service Specific Terms, Google won't use your data to train or fine-tune any AI/ML models without your prior permission or instruction.

AI Assistant request limits

AI features in SessionLab are available on paid plans:

  • a user on the Individual plan can perform 10 requests per month.

  • a user on the Pro plan can perform 50 requests per month.

  • a user on the Business plan can perform 200 requests per month

For the accounts with multiple users on it, the number of AI requests is shared across your workspace members. For example, one Pro workspace with 4 users will have 100 AI-requests available per month, which can be used by any workspace member.
